Every role centers on a Lead actively mentoring an Apprentice toward taking over the role themselves next year โ our succession plan for a volunteer-run fest. When we're lucky, an outside Industry Advisor pitches in too, though that's a bonus, not a given. ๐ถ marks a slot that still needs a volunteer.
Coordinate all functional leads, run organizer meetings, and maintain the big-picture view of the event.
Solicit sponsorships, manage sponsor relationships, and coordinate benefit fulfillment and payments.
Manage the call for speakers, review sessions, build the schedule, and coordinate speaker communications.
Develop and maintain the LFNW website, update content, and manage deployments and uptime.
Handle social media posts, engage the community, and funnel news from leads into public announcements.
Design the expo hall layout, coordinate pipe and drape, and manage setup and teardown volunteers.
Oversee signage design, production, placement, and installation across the venue.
Serve as the primary contact between LFNW and the venue for access, policies, and issue resolution.
Recruit, coordinate, train, and schedule volunteers across all teams before and during the event.
Organize BTC student volunteer involvement, supervise their projects, and coordinate with the venue. (Only applicable when the venue is at an educational institution.)
Supervise Room Captains, manage room schedules, and ensure presenter support and safe session conditions.
Manage recording and streaming equipment, set up and maintain streaming rigs, and train AV volunteers.
Provide remote AV support, monitor streams, and manage the remote control station for all session rooms.
Set up and maintain wired and wireless network infrastructure for attendees, streaming, and the expo hall.
Plan social gatherings, coordinate food and beverage, and manage RSVPs.
Select games, organize tournament brackets and prizes, and operate the Game Den during the event.
Organize event swag, speaker gifts, and merchandise, and manage vendor relationships and inventory.
Design and manage T-shirt creation, distribution, and point-of-sale.
